Seasonal Warehouse Staff in Sydney
Every year, the warehouses that handle peak well are the ones that started planning while it still felt early. By late November, retailers, 3PLs and distribution centres across Western Sydney are all chasing the same pickers, packers and forklift drivers. If you need seasonal warehouse staff in Sydney, the sites that lock in their people in October have a very different December to the ones that wait.
Here’s a practical plan to get your peak season workforce sorted.
Work out your numbers
Before you call anyone, turn your forecast into a headcount plan.
- Last year’s volumes. Pull weekly order or unit volumes for October to January. Where were the spikes, and how long did they last?
- This year’s forecast. New clients, promotions, product launches or changes to Black Friday and Cyber Monday campaigns?
- Productivity rates. Units per hour for picking, packing and receiving turn volume into labour hours, and labour hours into headcount by shift.
- Constraints. Dock doors, forklifts, RF scanners, parking and lunchroom space all cap how many people can work productively at once.
The result should be a weekly headcount plan by shift and role, not a single “we’ll need about twenty extra” number.
Peak season timeline
- Eight to ten weeks out: Brief your labour hire provider with your forecast. Agree roles, shift patterns, start dates and licences needed.
- Six weeks out: Bring in a core group of seasonal workers early. People who start in October are fully productive when volume hits, and they can help train the next wave.
- Four weeks out: Run group site inductions. Sort PPE sizes, RF scanner logins, security passes and parking before day one.
- Two weeks out: Lock in your full peak roster and a reserve list of inducted workers for surges and absences.
- During peak: Hold a short daily check-in with your agency on tomorrow’s numbers. Small, early adjustments beat last-minute scrambles — and if people don’t show, have a plan (see what to do when you need last-minute warehouse staff).
- After peak: Note your best performers. Keep them on your preferred list for next year, or offer them permanent roles.

Safety during peak
Peak is when fatigue, rushing and crowded aisles combine.
- Don’t skip inductions. Thirty minutes of induction is far cheaper than an incident.
- Pair new workers with experienced ones for their first shifts.
- Watch the hours. Long back-to-back shifts drive errors and injuries. Spread the load across more people.
- Tighten traffic management. More people and more forklift movements in the same space need clear pedestrian zones and supervision.
Common mistakes
- Waiting until volume arrives before calling your agency
- Booking headcount without matching it to equipment and space
- Inducting everyone on the same busy morning
- Sending new starters without clear gate, time and contact details
- Letting good seasonal workers walk away in January without a plan to bring them back

FAQs
When should I start hiring?
Brief your agency eight to ten weeks before your peak starts, and have a core group of seasonal workers on site around six weeks out.
How many extra staff do I need?
Work it out from forecast volume and your units-per-hour rates by task, then check it against equipment, dock and space limits.
Can seasonal workers stay on?
Yes. Many sites keep their best seasonal workers on through January returns, or move them into ongoing or permanent roles.
